Job description

The Back Office team at Trask ensures that hundreds of colleagues across the company can work efficiently without unnecessary obstacles. From managing the day-to-day operations of our offices to supporting corporate events and assisting our international branches, this team is the driving force behind a smooth and professional workplace.

We are looking for someone who will become the face of our Prague office while also serving as a key operational partner across the company. We are seeking a person who combines strong organizational skills, independence, a genuine care for people, and the willingness to take ownership of the environment in which our employees work.

This role works closely with the company's leadership team and the Back Office team led by Martin Brůžek.

What You Will Do

  • Take responsibility for the complete operational agenda across all Trask offices, including our international branches.
  • Manage the company vehicle fleet, mobile phones, and related operational administration.
  • Coordinate office facilities at our headquarters and regional offices, including equipment, office development, relocations, and workplace reservation management.
  • Support employees both at Trask offices and client sites with workplace equipment, facilities, and operational needs.
  • Ensure the smooth operation of the reception area while maintaining a high standard of service for employees, visitors, and business partners.
  • Collect feedback from managers and employees and continuously improve operational processes to maximize internal customer satisfaction.
  • Lead and develop the reception team, including recruitment, onboarding, training, and career development.
  • Provide administrative support to the CFO and company management, including contract administration, document management, and entering data into internal financial systems.
  • Manage office-related projects such as office relocations, renovations, workplace optimization, and the implementation of shared desk concepts.
  • Cooperate with suppliers, facility management partners, and other external vendors.
  • Take responsibility for Occupational Health & Safety (OHS) and Fire Safety compliance, including coordinating related activities and legal requirements.
  • Ensure that all offices maintain a professional appearance and provide a pleasant working environment for employees.

Required qualifications

  • Experience as an Office Manager, Facility Coordinator, Executive Assistant, or in a similar role. Candidates from operational roles with the ambition to grow are also welcome.
  • Excellent organizational skills.
  • Ability to prioritize tasks effectively.
  • Independence and a strong sense of responsibility.
  • A naturally customer-oriented and service-minded approach.
  • Excellent communication skills.
  • Fluent English for everyday communication.
  • Valid Category B driving license and confidence driving different types of vehicles.
  • Willingness to travel between company offices.
  • Experience leading a small team.
