Job description
- Own the CEO’s calendar and priorities - Actively manage time and priorities, anticipate conflicts, propose alternatives, and protect focus on strategically relevant topics rather than reacting to urgency alone.
- Organize and coordinate Board meetings end‑to‑end - Manage the full lifecycle of Board and executive meetings, including agendas, materials, logistics, and coordination with all participants.
- Prepare clear, structured meeting minutes - Capture decisions, key discussion points, and action items with clear ownership and deadlines. The focus is on outcomes and next steps, not verbatim transcripts.
- Ensure follow‑up on Board and executive actions - Track agreed actions, monitor progress, remind owners, and ensure topics are closed or escalated when needed.
- Manage complex business travel - Plan and coordinate domestic and international travel with attention to timing, logistics, and realistic transitions between meetings.
- Track expenses and receipts with discipline and transparency - Maintain accurate oversight of expenses and documentation, ensure completeness, and support smooth cooperation with finance and controlling.
- Handle confidential information at the Board level - Work with sensitive leadership and governance information. This role operates within the Board ecosystem and requires a high level of discretion and professionalism.
- Use AI and digital tools effectively - Leverage modern tools to improve efficiency, structure information, and support high‑quality executive outputs.

- An experienced Executive Assistant supporting senior leaders
- Coming from a consulting firm, Big4, or corporate environment
- Highly structured, detail‑oriented, and mentally sharp
- Comfortable in boardrooms, not intimidated by senior stakeholders
- Professional, discreet, and emotionally intelligent
- Fluent in English and confident in executive communication
